trip terms & conditions

Read this agreement thoroughly and carefully before booking a trip; it contains important terms and conditions regarding the trip you are purchasing including, but not limited to, our rights to cancel or alter the tour, our cancellation and refund policies, and a limitation of our liability and other important disclaimers.

By using our services, you agree to these core principles:
  • We are your Intermediary: We book travel on your behalf with third-party suppliers (airlines, hotels, etc.). They, not us, are responsible for providing the actual travel services.
  • Liability Limits: We are not responsible for supplier bankruptcies, flight delays, or "Acts of God" (Force Majeure).
  • Financial Responsibility: You are responsible for all booking charges and agree not to use "chargebacks" to recoup funds paid for your trip.
  • Accuracy Matters: It is your duty to verify that all names on your booking match your government-issued ID exactly.

AGREEMENT
The terms and conditions set forth in this agreement constitute the entire understanding and agreement between you the trip “Client” and Retreat2wellness, llc dba Valise Travel Concierge (Valise) with respect to any and all bookings, tours, or transactions made with Valise Travel Concierge through any of its online platforms including but not limited to Retreats, Group Travel, and Private Departures.

By making a booking, you accept all of the terms in this agreement and direct us to perform services on your behalf. All persons named in this booking (“Clients”) are subject to this agreement. By making a booking, you affirm that you have made all other Clients listed in the booking aware of these terms – regardless of how final payment is made – and that all Clients accept these terms.

PAYMENT AND BOOKING ACCEPTANCE
A deposit of a specified amount must be paid at the time of Booking.

All payments must be made in U.S. dollars and can be processed via ACH or major credit cards including Visa, MasterCard, Discover, or American Express. Please note that there are additional service fees for processing credit or debit card payments. Your credit or debit card statement will reflect the payment as “Retreat2wellness, llc”.

A booking is not final or confirmed until you receive a confirmation from us by email. Early bookings are recommended because group size and departure dates are limited.

We reserve the right to decline any booking for any reason permitted by law, including those described in other sections in this agreement.

The Client may request Services with Valise by accepting our quote in writing delivered to Valise, but the contract between Valise and the Client is formed when:

(a) Valise receives from the Client the deposit amount as set out in the quotation and,
(b) Valise confirms the Client's request by sending to the Client a written form of confirmation.

Price and Payment

The Client shall pay a deposit, in the amount as set out in the quotation, at the point of Booking.

The balance of the purchase price must be received by Valise by the date set out in the quotation.

Valise shall be entitled to charge the Client a surcharge at any time in the event of a fluctuation in exchange rates or in the event of the imposition or increase of any dues, levies or taxes or fees arising from the result of governmental action (including, but without limitation, an increase in VAT).

For all trips:

If full payment is not received when due, Valise reserves the right to cancel your Trip Deposit / Booking Reservation, and to apply a 100% cancellation fee.

All room supplements must be paid when making a Trip Deposit / Booking Reservation. This includes solo travelers who request a “Single – No Share” room (if available for your specific trip departure). Advance payment is required to guarantee single rooms.

PRICING, INCLUSIONS & EXCLUSIONS

The trip price is in U.S. dollars, based on double occupancy and includes the services specified in the daily itineraries, including meals, accommodations, admission fees and guided activities as stated.

Prices do not include any item not specifically listed above or in the itinerary, including but not limited to, air and other transportation to and from trip start and termination points; services and meals not listed in the itinerary; all expenses during leisure time including admission fees, meals, and beverages; passports or other travel documents; travel insurance or travel protection (i.e., medical insurance, emergency evacuation and similar services); airport arrival/departure fees or country taxes; personal expenses; gratuities; and all items of a personal nature.

single room supplement is paid by participants who request single accommodations, which are subject to availability and paid separately.

Trip prices are subject to change without notice. Unless otherwise specified, prices do not include any local taxes or use-fees, including foreign departure, security, port charges, park fees, customs, immigration, agricultural, passenger-facility charges or international transportation tax.

The value of the Booking and Booking Reservation may be subject to taxes, duties, foreign transaction, currency exchange or other fees.

Your bank or credit or debit card company may convert the payment into the local currency and charge fees, resulting in differences between the amount displayed on the Valise website or its affiliated websites, and the final amount charged to your bank account or credit or debit card statement. Please contact your bank or card company if you have any questions concerning any applicable conversion or fees. Please note for bookings made in Brazil, the tax IOF (Tax Upon Financial Operations, 6.38%) is not included in the final booking value and will be charged to the credit or debit card used to make the purchase.

CLIENT CANCELLATIONS & REFUNDS

To cancel your Booking you must email us your complete booking details at

If you need to cancel your trip, cancellation fees will be applied based on the date we receive your written notification. Cancellation fees vary. Cancellation fees will be listed in the Trip Document.

Unless different terms are set out in the quotation, any such cancellation will be subject to the following charges:

Cancellations received between the date of booking and the start of the tour will result in the loss of the deposit.

Cancellations received prior to the start of the tour, but after the final payment has been made
will be subject to a forfeiture of the entire tour price.

The purchase of special event tickets is subject to the refund policy of each individual event.

Valise reserves the right to charge for financial penalties, fees and losses incurred in excess of your cancellation fee as a result of cancellation.

Should the Client cancel some of the passengers on the Booking the charges set out in the quotation will be pro-rated per Client. Please note that partial cancellations may result in additional supplemental charges becoming payable on the remainder of the booking.

Due to requirements that our tours have a minimum number of travelers, we do not allow changes in departure dates after we confirm your reservation. In addition, our outside suppliers, including hotels, often impose additional fees or penalties for changes and cancelations.

We will refund the applicable balance to you using the original payment method for your Booking or Trip Deposit / Booking Reservation.

No refunds will be provided for any reason for an unused portion of a trip once the trip begins, including if you leave a trip for any reason or have to be removed from a trip. The trip price is a package cost and refunds and credits are not available for services not used.

There are no exceptions to this cancellation and refund policy, including for reasons related to weather, terrorism, civil strife, personal, family or medical emergencies or any other circumstances beyond our control. For this and other reasons, we encourage you to purchase trip cancellation and interruption insurance and travel protection (i.e. travel medical insurance and emergency evacuation services).

Valise is not responsible for expenses incurred by Participants in preparing for a trip (eg. nonrefundable advance purchase air tickets, equipment, etc.) or for any additional arrangements pre- or post-departure date. The term applies whether the tour is altered, modified, or cancelled by us or by you for any reason. In the case of Group Tours, because the tour may be cancelled when a minimum number of Participants have not signed up, we recommend that you either purchase refundable air tickets or wait until we have confirmed with you approximately 3 months prior to the tour that we have a sufficient number of Participants.

CANCELATIONS OR CHANGES BY VALISE

Valise shall be entitled to cancel any Booking by giving notice to the Client at any time if the Client has failed to make any payment under the terms of the quotation

Valise reserves the right to refuse, block or cancel a Booking or Trip Deposit / Booking Reservation at any time, for any reason, at its sole discretion.

Valise reserves the right to cancel, alter, or modify a trip prior to departure for any reason, including insufficient Participant reservations. Valise and its suppliers reserve the right to substitute hotels, restaurants, routes or other services listed in the itinerary with comparable services if necessary.

When a tour is canceled for foreseeable reasons, then you agree that a full refund of trip payments made to us will constitute full settlement of any claims you may have against Valise or our suppliers, partners, or travel intermediaries.

In the rare event that Valise is forced to cancel or reschedule a trip for any unforeseen circumstance beyond the reasonable control of Valise, such as, but not limited to, acts of nature, war, labor strikes, earthquake, flooding, pandemics, quarantines, international travel restrictions, national emergencies, etc., Valise will attempt to reschedule your trip departure.

In the event that the trip cannot be rescheduled, Valise will use reasonable efforts to recover and refund booking balances to guests when possible. However, Valise does not guarantee recovery of any or all of the advance payments made, and the use of reasonable efforts to recover these payments will not include the institution of legal proceedings in foreign jurisdictions. For this and other reasons, we encourage you to purchase trip cancellation and interruption insurance.

Complaints

Valise endeavors to provide its Services to a very high standard. However should the Client encounter any issue or problem with the Services; the Client must contact Valise immediately, who will endeavor to assist. Where possible, all such issues or problems should also be raised directly with the third party supplier at the time of arising, to enable investigations to take place and remedies (where possible / appropriate) to be implemented.

Following investigation, Valise shall advise the Client of its decision and/or the amount of compensation(s) agreed (if any) to the Client in writing. Valise shall pay such amounts to the Client as agreed between the parties. It is understood that the Client shall not deduct the amounts relating to compensations from payments due to Valise.

Liability

Valise will not be responsible for any loss or damage incurred by the Client that relates to any business activity; or which could not have been foreseen at the time the Client made its booking in light of the information the Client gave to Valise at that time.

Valise reserves the right to change the Services which is the subject of the Booking at any time prior to departure of, or during the course of, the Services if Valise considers it necessary to do so in the light of bookings, availability or unforeseen circumstances arising.

While all reasonable attempts have been made to ensure the accuracy of information, descriptions and photographs provided by Valise, certain such material, where applicable, is provided to Valise by its suppliers and as such Valise cannot accept any responsibility for the accuracy of such material. Where any such material is sourced directly by Valise, then it is accurate at the time of taking, however it is foreseeable that some destinations will change in appearance due to weather or other seasonal changes or external influences, and as such Valise cannot guarantee the accuracy of any such material.

General Terms Applicable To The Services

Special requests: If any Client has special requests relating to any of the Services, the Client should advise Valise at the time of booking. Where applicable, Valise will pass on all such requests to the third party supplier(s) and will endeavor to ensure that they are met, however cannot guarantee that such special requests will be met and will have no liability to the Client if they are not.

Disability Service Requests: Any Disability Service Requests must be made, in writing to Valise, prior to Valise providing a quote for the Services. Any such requests made after Valise has issued a quote, and not listed on the booking confirmation will not form part of the contract between Valise and the Client. Valise will pass on any such requests but cannot guarantee that such requests will be met and will have no liability to the Client if they are not.

Time Limits For Claims And Proceedings

Any claim under the provisions of these Conditions shall be notified by the Client to AKORN in writing within 60 days after the end of the Services. If such claims are not made within this period then Valise shall have no liability for such defect or failure.

Regulations Regarding Passports, Visa, Customs Duties, Foreign Currencies And Health

The Client is responsible for the compliance with regulations in force in the visited countries regarding passports, visa, customs duties, foreign currencies and health. The Client shall bear all liabilities arising from e failure to comply with such regulations and Valise shall bear no liability or responsibility whatsoever in such circumstances

General

Any typographical, clerical or other error or omission in any brochure, quotation, price list, confirmation of offer, invoice or other document or information issued by Valise shall be subject to correction without any liability on the part of Valise.

Data Protection

Each party warrants that it will duly observe all its obligations under any relevant data protection and privacy legislation.

Force Majeure

Neither party shall be liable for failure to perform its obligations if such failure results from acts, events, omissions or happenings beyond its reasonable control including, without limitation, any natural disaster, fire, insurrection, war or other hostilities, riots, civil commotion, embargoes, the requirements or regulations of any civil or military authority, explosion, accident, industrial dispute (other than that between the affected party and its employees), transportation or communication problems or any incident which is similar in nature or effect to any of the foregoing (a "Force Majeure Event").

Each of the parties hereto agree to give notice forthwith to the other upon becoming aware of a Force Majeure Event, such notice shall contain details of the circumstances giving rise to the Force Majeure Event and shall take all reasonable steps to mitigate the effect of the Force Majeure Event.
